Registration terms and conditions

Please read these terms carefully and check the visa information page before registering.

The Colloquium is organised by The Cochrane Collaboration, a company limited by guarantee and charity registered in England and Wales with company number 03044323 and charity number 1045921, whose registered office address is 11-13 Cavendish Square, London, England, W1G 0AN

Colloquium Registration

In order to register for the Colloquium, you will need to create a Cochrane account, complete the registration form and purchase a registration. You will also have the option to book accommodation using the Colloquium registration form – see Hotel Booking section below for details. The registration form is hosted by Cochrane’s events management software provider, Swoogo.

Payments will be made through Stripe and the funds will be collected and managed by Cochrane’s professional conference organiser, TFI Lodestar Limited (“TFI”), a private limited company registered in England and Wales with company number 01845643, whose registered office address is at 24 Patcham Terrace, Battersea Exchange, London, England, SW8 4EY.

Once the payment has been made and the registration form has been submitted, you will receive a confirmation email. Please contact colloquium@cochrane.org if you do not receive a confirmation email.

Full registration includes:

  • Name badge
  • One ticket to the evening social event, subject to the payment of an additional £15 fee which is charged to minimise non-attendance and food waste. This additional fee will be donated to St Mungo’s, a UK-based charity dedicated to tackling homelessness
  • Access to all scientific sessions from the 4 - 6 September 2023
  • Lunch and refreshments from the 4 - 6 September 2023

Day registration includes:

  • Name Badge
  • Access to scientific sessions on the day of registration
  • Lunch and refreshments on the day of registration

Please note:

  • Only registered delegates are permitted to attend the Colloquium.
  • Day registration is available for all days of the Colloquium but each delegate may only register for up to two day registrations.
  • Daytime refreshments and lunches are solely for delegates.
  • Unless specifically stated otherwise, registrations do not include entry to any of the social events taking place alongside the Colloquium.

The Colloquium programme overview is provisional, and the programme will not be finalised until closer to the Colloquium.

You must comply with the terms and conditions of the Colloquium venue and any other requirements of the venue, including any health and safety requirements.

Any requests for amendments and/or cancellations of your Event registration must be notified in writing to Cochrane by emailing colloquium@cochrane.org. Event registration cancellations received in writing by 24 July 2023 will be refunded in full, minus an administrative fee of 10% of the registration fee. Cancellations received after that date will not receive refunds. This included cancellations due to COVID-19 or any other illness. This clause does not apply to hotel bookings – see below for details around cancelling hotel bookings.

If you confirm in the registration form that you have any dietary or access requirements, Cochrane or TFI may need to contact you to request further details about your requirements. If you do not respond to such a request then Cochrane may be unable to fulfil your specific requirements.

If for any reason outside of Cochrane’s reasonable control the Colloquium cannot take place, Cochrane will refund the registration fee, less an administrative fee of 10%. 

Hotel Booking

You have the option to book your accommodation for the Event by selecting one of the available accommodation options on the Event registration form. TFI will collect the payment for the hotel and pass the funds for the booking and your personal data on to the hotel for the purposes of making the booking. You must comply with the terms and conditions and any other requirements of the hotel, including any health and safety requirements.

If you want to cancel your hotel booking, you must contact colloquium@cochrane.org. If you send the request to cancel

  • before 3 July 2023, a full refund of the hotel booking fee, will be given minus a £20.00 handling fee;
  • on or after 3 July 2023, no refund will be given.

If for any reason outside of Cochrane’s reasonable control the Colloquium cannot take place, Cochrane will refund the hotel booking fee, minus the £20.00 handling fee. 

Neither Cochrane nor TFI are responsible for the provision of hotel services by the relevant hotel. If you are not happy with the service provided by the hotel, please contact the hotel directly.

What precautions will be in place for COVID 19?

The health and safety of all our conference stakeholders is our highest priority and we wish to ensure that all those attending can do so in a COVID safe environment. We are working closely with the QEII Conference Centre to deliver this and will publish the latest information on this webpage. Please do check this page before you travel to the event as we are living within a changing environment, and therefore may need to adjust requirements to accommodate any changes to UK Government COVID advice, guidance, or regulations.

Privacy Policy

Any personal data collected about you when you register for the Colloquium will be processed in accordance with our Privacy Policy.

Photos and Recordings

Delegates at the Colloquium may be photographed, filmed and/or otherwise recorded during the Colloquium and these photos and recordings may be retained and incorporated into online material or otherwise used for promotional purposes by Cochrane. If you do not want any photos or recordings of you to be used in this way, please contact   colloquium@cochrane.org.

Liability

Nothing in these terms and conditions shall limit or exclude Cochrane’s liability for death or personal injury caused by Cochrane’s negligence or any other liability which legally cannot be limited or excluded.

The liability of Cochrane in the event of cancellation of the Colloquium is limited to the value of any refunds due under these terms and Cochrane shall not be liable for any other loss, cost or expense incurred by delegates or their organisations arising from or in connection with the cancellation. Delegates or their organisations are advised to take out comprehensive insurance, including travel insurance.

Cochrane will not be liable for any indirect or consequential losses, costs or expenses incurred by delegates or their organisations arising from or in connection with the Colloquium. Cochrane will not be liable for any delay or failure in performing any of its obligations arising from or in connection with the Colloquium if such delay or failure is due to any reason outside of Cochrane’s reasonable control. Cochrane’s total liability to delegates or their organisations is limited to the total value of any registration fees and hotel booking fees paid.

Cochrane will use reasonable endeavours to ensure that present up-to-date, accurate information is presented at the Colloquium. However, Cochrane provides no guarantee that any particular individual will appear as a speaker or panellist at the Colloquium, provides no guarantee about the accuracy of the information presented at the Colloquium and will not be liable for any losses, costs or expenses arising from or in connection with any reliance on such information.

General

If a court invalidates part of these terms, the rest will still apply. If a court or other authority decides that some of these terms are unlawful, the rest will continue to apply.

Even if Cochrane delays in enforcing this contract, Cochrane can still enforce it later. Cochrane might not immediately chase you for not doing something (like paying) or for doing something you're not allowed to, but that doesn’t mean Cochrane can't do it later.

These terms are governed by English law and subject to the exclusive jurisdiction of the English courts, save that, if you are a consumer (under consumer laws), you will benefit from any mandatory provisions of the law of the country in which you are resident and nothing in these terms affects your rights as a consumer to rely on such mandatory provisions of local law.
